How do I update a volunteer application with the outcome?

As a small charity, we rely on reporting our impact for our funding, and as service designers your data and feedback help us to improve our platform. Here is some guidance on how to update Reach on if you have made a volunteer placement or not.

I have already agreed the outcome with the volunteer, do I still need to update Reach?

Yes please! Recording placements helps us to measure our impact and improve our service. 

What are the options I can choose from when updating a volunteer application?

Place - Great news! You have placed the volunteer in the role. If you place them, then the placement will show on their volunteer profile.

Don’t place - Use this option if the volunteer is not going to be taking up the role. This could be because you have decided not to place them, that the volunteer changed their mind and withdrew, or that you did not hear back. 

Place other role - The volunteer is taking on a different role at the organisation.

How do I update applications in my dashboard?

  • Log into your Reach account and go to your dashboard
  • Choose the Applicants tab on the left side panel of your dashboard
  • You will see the applicants listed on this page. You can use the search bar at the top to filter them by the opportunity they applied for.
  • Find the application you want to update
  • Select the outcome from the options listed - Place, Don’t place, Place Other role.
  • When you select an outcome, we will ask you to confirm whether you have already contacted the volunteer to let them know. If you select ‘No’, a box will appear so that you can message the volunteer. While it’s important that you update Reach with the outcome, it’s even more important that the volunteer knows! If you are not placing the volunteer, we will give you the option to let us know if they withdrew their application
  • Click Confirm 

Don’t forget - you can also update a volunteer’s application directly via your message thread with them. The same options will appear.

Not heard back?

If you have not yet heard back from a volunteer,  try sending a follow-up message via the Messages tab in your dashboard. If you feel an appropriate amount of time has passed and the volunteer hasn’t been in touch, you can close off the application, choosing the ‘don’t place’ option. You’ll have an option to tell us that they withdrew if you like. Send the volunteer a final message to say that you are closing their application, leaving the door open if you are happy to.
