Operations Co-Lead - CFK

The CFK Operational Co - Lead will manage the day-to-day* operational needs of the CFK Project, deputise for The CHC Chief Operations Officer (COO) when required and act as a business partner to other teams.

  

What will you be doing?

As the Operational Lead your duties will include, but are not limited to:

CFK Project Operational Management

  • Focused on the overarching goals of the CFK Project, coordinating the overall Project with all teams, ensuring key work packages and milestones are identified, agreed, monitored, and achieved.
  • In collaboration with Team Leaders, setting up management, quality assurance, operational risk and issues management and reporting structures that will help with communications, planning and implementation.
  • Develop and implement operations, delivery, risk and quality assurance policies, processes and procedures.
  • Managing any project managers and project support office that may be required in support of delivery interventions

Supporting Team Intervention Delivery Strategies

  • Working with the Research & Data Team Lead to ensure the correct policies, processes and structures are in place to deliver effective interventions which meet clinical, scientific, and ethical standards.
  • Working with the Education Content Team Lead to ensure that the correct policies, processes and processes are in place to deliver effective interventions with the required educational material.
  • Supporting Team Leaders to develop their strategies and SMART goals, following up on progress towards these, and making sure they align with the vision, mission and goals of CFK.
  • Supporting (Delivery) Team Leaders to plan and manage their projects effectively, according to the management and reporting structures agreed.
  • Support the setting up of contractual agreements for Interventions to achieve the vision, mission and goals of CFK.
  • Ensuring all interventions are quality controlled and presented and reported professionally.

Relationship Management – External Partners

  • In collaboration with the CFK Education Content and Research & Data Team, and Delivery Team Leads take an appropriate operational ‘day-to-day’ (*) management role in the development of strategic partnerships and to hold the responsibility for managing these relationships on behalf of the overall CFK Project, where required.
  • Support Delivery Team’s Leads to foster and maintain strong relationships with Partners organisations and Intervention Sites.

 

People Management and Planning

  • Support the HR (People Team) Lead and all other Team Leaders to plan, recruit, organise and effectively deploy volunteers across the project.
  • Manage volunteers in the Operations Team who report to you.
  • Support the COO with recruitment, resource planning and management of the Operations Team.

 

Marketing and Communications

  • Liaise with the Marketing & Communications Lead to ensure that the internal and external communication materials support the day-to-day (*) operational requirements of the project.

Collaboration

-          Working collaboratively with stakeholders across the project, as well as external partners as required so they understand CFK’s positioning and what our brand stands for.

-          Attending and/or leading regular (remote) internal CFK Meetings, including the monthly CFK Club Meeting, The Welcome Meeting, Team Leader Meetings and other meetings as required to advance the operations strategy and collaborative nature and needs of the CFK Project.

-          Attending and/or leading meetings with external partners (remotely and onsite) as appropriate.

* For clarity, ‘day-to-day' refers to regular, operational activities and is not intended to suggest such activities need to be carried out on a daily basis

What are we looking for?

Experience / Skills

 Essential:

  • Experience of working as part of a management team and leading operational activities or large programmes/projects.
  • Ability to work with diverse, multi-disciplinary teams.
  • University Degree and / or significant experience of senior operational management roles. 
  • People management experience.
  • Demonstrable planning and organisational skills.
  • Project or programme management qualification (e.g. PRINCE 2).
  • Articulate written, visual and verbal communicator, fluency in English is essential.
  • Excellent IT skills including use of the Microsoft Office suite and project planning tools.

 Desirable:

  • Risk management and operational governance experience. 
  • Stakeholder management skills.
  • Developing relationships and working with external partner organisations. 
  • Experience of research and regulatory governance.
  • Prior experience in a similar role (paid or voluntary).
  • Previous experience of working for Charities and/or volunteer organisations is desirable but not required.
  • University Degree and / or significant experience of senior operational management roles.
