Careers Springboard seeks a Trustee IT Administration to take charge of our IT requirements providing our virtual service for professionals, managers and graduate job seekers. You will join a team of 7 Trustees & 20 Volunteers.
1. Zoom Administration
· Schedule all Zoom calls for the Monday evening meetings as well as four Exec
· Meetings and one AGM
· Set up meeting templates
· Set up and change registration, email and waiting room settings according to Careers Springboard Gerrards Cross branding
· Create polls and surveys e.g. Survey Monkey
· Knowledge of Zoom settings to optimise members’ Zoom experience
· Reports
· Updating programme schedule with Zoom links
2. Manage the Google Workspace administration
· Set up and maintain users (i.e. trustees, volunteers and groups) and provide email addresses
· Manage Security settings for users and groups
· Manage email addresses and SPAM settings
· Maintain settings to optimise the use of Google Workspace for all users
We currently have a Trustee IT Administrator who is available and keen to provide detailed one-to-one training and guidance to any new appointment.
The Trustee IT Administrator will be expected to attend / participate in the majority of our virtual Monday evening meetings, each of our four executive committee meetings, our AGM and occasional other meetings, e,g, programme committee, website development.
We provide 1-2-1 online coaching (using professional, qualified and experienced coaches) for our job seekers. The Trustee IT Administrator will oversee the smooth running of this Zoom service.
A proven ability with written and spoken English is essential.
Zoom Administration skills and experience :

· Managing, developing and encouraging the Google Workspace administration
· Setting up and maintaining users (i.e. trustees, volunteers and groups) and providing email addresses
· Managing Security settings for users and groups
· Managing email addresses and SPAM settings
· Maintaining settings to optimise the use of Google Workspace for all users

Our Trustee IT Administrator will have substantial IT experience of working with responsibility for a team of 2-3 IT volunteers, preferably within the voluntary and/or HR and/or training and/or job seeking sectors. Enthusiastic leadership will go alongside encouragement, responsiveness and sensitivity in order to move the whole team forward.
Above average IT skills, presentation and responsive support skills as well as confidence, an awareness of IT responsibility will be evident in any new Trustee IT Administrator appointment.
Careers Springboard is a registered charity, self-help group, established 35 years ago in Gerrards Cross, Buckinghamshire, staffed entirely by volunteers, providing help and guidance to redundant and unemployed professionals, managers and graduates who seek employment.
We currently operate online for all our meetings and services virtually with Zoom.
There is a virtual programme of weekly Monday evening meetings on job search skills such as CV preparation, Internet job search, telephone techniques, networking, LinkedIn, interview preparation, Tell Me About Yourself etc.
In addition Careers Springboard provides, free of charge to our members/job seekers, one-to-one online services such as CV preparation, interview practice, coaching, counselling. All these services are provided voluntarily by qualified and experienced professionals..
A Trustee IT Administration is required to work alongside fellow Trustees / Executive Committee and volunteers in all IT aspects of the day-to-day running of the charity, the Monday evening meetings and the medium to long term IT planning of the organisation.
Time commitment will be the majority of weekly Monday evening meetings, four Trustee meetings per year, an AGM and 3-4 hours IT admin/managerial work per week.
Since 2020, meetings are virtual via Zoom. To attend our Trustee meetings and AGM, location within 20 miles of South Bucks would be an advantage.
The charity operates online Monday evening meetings each year from January to April, from May to July, and from September to December. Meetings total 39-40 each year. Newly redundant members/job seekers join us each week whilst some leave us because they secure new employment. Current virtual attendance each week is approximately 50-90.
