The Museum of Dartmoor Life is seeking trustees who have vision and enthusiasm, combined with a love of Dartmoor to help with our exciting transformation to a dynamic museum that is relevant to the future.  

What will you be doing?

Our vision is for the Museum of Dartmoor Life in 5 years time to be the primary gateway to exploring Dartmoor, its history and people by engaging local and global communities through a vibrant centre, mobile exhibitions and an interactive online presence that captures and interprets stories of Dartmoor in exciting and inspiring ways and in collaboration with partners.  

Our mission is to collect, conserve and interpret artefacts and stories of Dartmoor, its history and people so that we can inform and educate visitors and the local community and inspire future generations to love and preserve the Moor and its heritage. 

We are looking for trustees that can help us deliver this exciting new vision and transformation from a rural museum in Okehampton to one which is the primary gateway to exploring the whole of Dartmoor, its history and people.    

In particular we are looking for a treasurer that can take the lead in bookkeeping, payroll (1 employee) and annual reporting as well as supporting submission of major revenue grant bids, overseeing procurement and lease/legal agreements. 

 

Responsibilities would include:

  • Updating and adhering to the Financial Strategy. POC for banking.
  • Overseeing procurement and authorising non routine expenditure.
  • Reporting in-year forecast expenditure and proposing a budget.
  • Bookkeeping:

- Maintaining up to date data on database (presently a Microsoft Money programme) and reporting to trustees as required.

- Payment of bills, producing invoices and overseeing rental income.

- Producing end of year accounts.

  • Preparing the Annual Report, seeking independent audit and producing accounts for
    Charity Commission Return.
  • Preparing and submitting annual bid for Town Council grant and WDBC rate relief.
  • Submission of major revenue grant bids.
  • Maintaining records of Pay Roll, acting as POC for all pay matters including HMRC and
    NEST (Workplace Pensions). Timely payment of tax to HMRC.
  • Preparing and updating short term leases with Courtyard residents.
  • Overseeing insurance requirements and contractual arrangements.

What are we looking for?

Our ideal volunteer will first and foremost have a love of Dartmoor and enthusiasm for conserving its history.  Other skills, experience and behaviours include:

  • Experience in a treasurer role
  • Knowledge of procurement processes and contractual agreements (desirable)
  • A willingness to devote the necessary time and effort to their duties as a trustee
  • Good, independent judgement
  • Ability to work independently and as part of a team

What difference will you make?

This role will be key to ensuring the financial sustainability of the Museum and financial accountability by the trustees.  It will support the trustees in annual budget planning which will help deliver the 5 year strategic plan. Ideally this role will also provide support in terms of procurement, contracts, tenant leases and insurance ensuring value for money and legal compliance.
