Support the smooth running of the UK’s first county laureateship as Secretary. Help organise meetings, manage records, and keep communications clear as we promote poetry and community engagement across Surrey.

What will you be doing?

As Secretary of the Surrey Poet Laureateship, you will play a vital role in keeping our organisation running smoothly and efficiently. You'll be the central point of contact for documentation, record-keeping, and internal coordination, ensuring that our vibrant and growing team stays organised and informed.

You’ll work closely with the President and Vice President to schedule meetings, record minutes, maintain governance records, and support internal communications. Your attention to detail and reliability will help us remain accountable, transparent, and efficient as we deliver workshops, events, competitions, and outreach across Surrey.

Key responsibilities include:

  • Scheduling and preparing agendas for meetings
  • Taking and distributing accurate meeting minutes
  • Maintaining key documents, contact lists, and digital files
  • Assisting with internal communications and updates
  • Supporting governance and compliance requirements (e.g. CIC records)
  • Ensuring timely follow-up on agreed actions

We are looking for someone organised, dependable, and enthusiastic about supporting the arts and community-based work. The ideal candidate will have a keen eye for detail, a methodical approach, and a collaborative spirit.

Essential skills and qualities:

  • Excellent organisational and time management skills
  • Confident written communication
  • Ability to take clear, accurate minutes and maintain records
  • Basic familiarity with tools like Google Drive, Docs, or Microsoft Office
  • A willingness to be proactive, reliable, and responsive
  • Experience with admin or secretarial roles (voluntary or professional)
  • Knowledge of charity governance or community interest companies (CICs)
  • An interest in poetry, arts, or cultural engagement

Please note: The successful applicant must be able to reliably commute to our HQ at the Egham Literary Institute building, where key meetings and planning sessions are held.
