Help to make a difference to very poor children by organising and creating the office support for the Trustees and Staff of the school.
The volunteer would have hands on responsibility for monitoring and managing Teams and Outlook on behalf of the Trustees and Staff of the Extra Mile School. This would entail liaising with Team leaders, filing documents and minutes, updating photo albums, creating meetings, prompting renewal dates for policies and implementing an organisational online structure to give access to the records. The volunteer would become part of the Team with their own extra-mile.org email address.
The volunteer must have administrative experience and be well versed in the practicalities of Microsoft Teams and Outlook. The charity has recently adopted the "not for profit" scheme offered by Microsoft in order to organise its communications and records. The Trustees operate in Teams ; Finance, Leadership, Buildings Communications and Fundraising, Education and finally the Trustees themselves as a group. Meetings are held regularly and minutes and actions are recorded. These need to be filed appropriately and followed up for the next meeting. The administrator would be responsible for the filing of the minutes and reminding individuals of their actions before the next meeting. The charity has developed a number of policies which need to be reviewed every couple of years. The administrator would remind those responsible for the review that the date was approaching and ask for an update.
Charity members would also be looking for guidance from someone proficient in the systems to help them navigate the IT until they themselves became practised in their use of it. The school has internet access and regular meetings are held on the Teams Video conferencing site. Although not a requirement for the volunteer to attend each and every one it may be an advantage to do so in the beginning in order to put names to faces and get to know the individuals.
Once an organised database has been established then time commitment would probably be just a couple of hours per week but the role would be flexible if the individual was able to offer further skills. We are looking for someone creative with good interpersonal skills in communicating with charity members from a range of occupations.
A bonus would be to be able to take minutes of meetings, however because of the number of meetings held over the year it would be too much to ask any individual to attend all of them. So any such work would be by negotiation and may just involve Trustees meetings and /or Leadership meetings.
This is a volunteer role which would be very much home or office based and would not require any travel or face to face meetings. Having said that Extra Mile welcomes dedicated individuals who would like to add value to the chairty through their own initiative and drive.
With regard to qualities of the volunteer then patience with and guidance of some of the users would be immensley helpful as many of us serving on the Board were born before the advent of IT (unless you count bakelite landline telephones)!
Extra Mile educates 180 children in Sierra Leone ( the poorest country in West Africa) in a school the charity has built, maintains and funds. The impact on their lives would be to bring them out of poverty through education by providing greater employment opportunities with better pay. The families the children are selected from are very poor and resort to low paid menial jobs to survive. Without education the cycle continues and very few escape. Extra Mile offers free education to the most needy to help them and their families break free of poverty.
It would be useful to have an indication of experience in the use of Microsoft Teams and Outlook.
