Diver’s Community CIC is looking for a proactive and well-organised Executive Assistant to support our CEO and contribute to our mission of helping individuals affected by homelessness. This is a part-time role with flexible hours, ideal for someone who is detail-oriented and passionate about community-focused work.
Key responsibilities include managing the CEO’s calendar, coordinating meetings and travel, handling communications, and providing high-level administrative support.
The role also involves supporting community project delivery and attending meetings (virtually and in-person) to take clear, actionable notes.
We’re seeking someone with excellent organisational and time-management skills, strong communication abilities, and confidence using digital tools. Discretion, flexibility, and a collaborative mindset are essential.

Skills
To manage a busy calendar, coordinate meetings, and handle multiple tasks efficiently.
For drafting correspondence, handling communications, and taking clear, actionable meeting notes.
Comfortable using email, online calendars, video conferencing platforms (e.g. Zoom/MS Teams), cloud-based storage (e.g. Google Drive).
Ability to capture detailed and accurate meeting minutes.
Experience
Ideally with experience supporting senior leadership or working in a small organisation or nonprofit.
Familiarity with helping deliver community-based projects or services.
Comfortable working independently in a hybrid setup with minimal supervision.
Qualities
Trusted to handle sensitive information appropriately.
Able to take initiative and anticipate needs without constant direction.
Thorough and accurate, especially with scheduling, note-taking, and written communications.
Willing to adjust to changing priorities and attend occasional in-person meetings.
Genuinely committed to supporting people affected by homelessness and aligned with the mission of Diver’s Community CIC.

The Executive Assistant will have a vital impact by enabling the CEO of Diver’s Community CIC to focus fully on strategic leadership and mission-driven work. By efficiently managing the CEO’s schedule, communications, and meetings, the Executive Assistant ensures smooth daily operations and effective time management. This support directly improves the organisation’s capacity to deliver critical services to individuals experiencing homelessness in Birmingham.
Additionally, by assisting with community project delivery and accurately capturing meeting notes and follow-ups, the Executive Assistant helps maintain momentum on key initiatives, fostering better collaboration and accountability within the team and with external partners. Their organisational skills and proactive approach will enhance the overall efficiency and responsiveness of the organisation.
In essence, the Executive Assistant’s contribution will help Diver’s Community CIC operate more effectively, reach more vulnerable people, and make a meaningful difference in the community. Their work behind the scenes empowers the whole organisation to achieve greater impact in tackling homelessness.
