Do you enjoy maintaining organised financial records? Would you like to play a key role helping Amersham Museum to run smoothly? We are looking for someone to succeed our current volunteer bookkeeper who has brilliantly supported the Museum.

What will you be doing?

The volunteer bookkeeper works with the Treasurer to provide vital support in monitoring and accounting for income and expenditure, and ensuring good processes are in place to manage the Museum’s income.

Responsibilities

  • Raise payment requests on the bank account for invoice payment, which will be approved online by the Treasurer
  • Provide supporting information for each payment to the Treasurer so that they can be correctly allocated
  • Post all receipts and payments in the cash book, regularly check and reconcile entries
  • Reconcile cashbook figures with the bank account at least monthly
  • Review income and expenditure against the agreed annual budget, preparing a monthly report
  • Provide supporting documentation and advice to the Treasurer for production of annual formal financial results 
  • Lodge excess cash and cheques into the museum account
  • Make monthly wage payments for 4 members of staff, as instructed by our external payroll contractor. 
  • Ensure HMRC and NEST Pensions are paid monthly
  • Maintain the membership register for Amersham Museum 200 Club, make payment to the monthly winner(s), prepare the scheme’s quarterly returns and apply for the annual renewal of the licence. 
  • Work with the Administrative Officer to maintain records, claim and account for Gift Aid 
  • Keep the Treasurer informed if any anomalies are spotted, or problems arise
  • Provide advice as appropriate on any financial transactions such as how to make payments or receive grants and other funding

What are we looking for?

  • Education and qualifications – no specific requirements, but training or qualifications in bookkeeping would be an advantage
  • Experience – experience in maintaining accounting records such as posting to a ledger and carrying out bank reconciliations is essential but training will be provided. Experience with basic accounting packages such as Xero, Quickbooks or Sage would be ideal
  • Skills and knowledge – the ideal person for the role will be well organised, numerate, and have an ability to work with spreadsheets and basic online programmes

Your input would allow the Museum to run effectively and efficiently in terms of financial management, something that is vitally important to the Museum's present and future activities.
