We seek a UK volunteer with at least three years as a professional Administrator in the UK with proven virtual management experience preparing, administering and leading online meetings of our administration team, our members and our trustees.
Historically based in South Buckinghamshire, we are a small, well established registered charity which has been operating for 30+ years. We are an entirely self help group providing job search advice and support to unemployed professionals, managers and graduates.
Applicants for this Administrator role must be based anywhere in the UK. All the work will be online with online contact with others in the Careers Springboard team.
Since March 2020 our presentations, coaching and meetings have been virtual via Zoom thus allowing us to widen our potential market.
We now need someone with leadership and development skills which help us to prepare, administer and manage our weekly Monday evening online meetings. Time commitment would be approx 4 hours on one Monday evening per month.
We are seeking 2-3 meeting Administration Hosts.
Our virtual operation is an important marketing tool to be developed. We seek Administration volunteers who can consider ways of improving and streamlining our Zoom operations.
We currently have a team of only administrators volunteers preparing and administering and managing our weekly online meetings. Our aim is to expand this team in order to secure more online expertise and to reduce our dependence on a limited number of virtual operators. At least three years of using networking and system management in a professional capacity will be a key requirement in our recruitment process for this administrator role.
We are seeking a volunteer who has proven online administration expertise over at least three years and who can put his/her expertise into voluntary practice on one Monday evening per month. Our aim is to have a team of 6-7 online administrators. Our current team numbers 4 in total.
Proven success through managing a smooth use of online administration will be expected. Experience of working in a voluntary capacity and voluntary environment will be an advantage.
The Administrator volunteer will have the capacity to plan and work alone but with guidance and recommendations from other members of the administration team and from 1-2 of the 8 trustees who manage the charity. The qualities we seek are clear and imaginative thinking, a calm and clear approach, reliability, receptive, consistent positivity.
Volunteers seeking to join and help Careers Springboard can live anywhere in the UK. All contact will be by email and by Zoom.
Success will be measured by the proficiency and ease with which preparations for our Monday meetings are conducted. Our average attendance at our Monday evening online meetings is 65. Administration and preparation for the online meeting is normally from 4.00pm to 5.00pm followed by opening and managing the meeting itself from 6.45pm to 9.15pm. Arranging and administering breakout rooms at the meetings is a frequent requirement. A pre-meeting Registration Report will be required and circulated 2 hours before the meeting starts at 7.00pm. A post-meeting Participants Report will be required and circulated 30 minutes after the meeting has concluded. Experience and familiarisation with these elements of managing virtual meetings will be required.
Careers Springboard has 40 Monday evening meetings over a 12 month period, with 13-14 meetings per "term".
We want to operate smoother, more "professional" Monday online meetings in order to provide our users with a meeting experience which will attract more job seekers from the job seeking community.
Currently our beneficiaries find us through recommendation or referral. Using professional administration expertise, proven over at least three years, we want to manage our Monday evening meetings better, especially the pre-meeting process / experience, expanding our visibility, relevance and impact in order to attract more job seekers to our weekly virtual Monday online meetings.
Unemployment can be isolating. It can damage confidence and self esteem, impacting not only the financial but emotional stability of those involved. We have the capacity to support more people through our services. Your administration professionalism would enable us to do that by managing and raising our online standards and increasing awareness.
The success of your administration professionalism would be visible weekly as more job seekers join us and benefit from our services.
We do not have a formal application form. Applicants should respond fully, via Reach Volunteering, to the descriptions, explanations, requirements and expectations of the role as laid out above.
Applications will be considered by one of our 8 trustees. Initial interviews will be virtual.
If successful at the initial stage, the applicant will then be interviewed by 1 or 2 other trustees including the chairperson of the charity.
Any appointment of the Administrator will be decided on by the Executive Committee of trustees.
