As an Admin Assistant for ESC, you will play a central role in supporting various individuals within ESC and working towards fulfiing administrative tasks.
Key Responsibilities:
Administrative Tasks:
- Assist volunteers in managing their calendars, and coordinate and schedule meetings.
- Respond to any question that you receive via email.
- Take minute meetings.
- Assist in creating agendas, reports and presentations if required.
- Support the team by handling general data entry tasks and help keep records maintained and accurate.
- Order Supplies.
Travel & Event Coordination:
- Assist with the coordination of events that will be hosted by or attended by ESC.
- Assist ESC when workshops are being held, and when conferences are being attended.
- Manage travel- related logistics. Support the team with their travel needs, by booking train tickets when necessary.
Document Management:
- Manage the inventory digitally, keep information up to date and manage device ownership records for employees.
- Assist with filing and managing records digitally via Microsoft SharePoint.
- File documents, ensuring that they can be easily located by ESC employees and volunteers.
What are we looking for?
- Previous experience as an Admin Assistant in the charity sector.
- Strong time management skills.
- Strong understanding of confidentiality and the ability to uphold any confidential information.
- Strong communication skills both written and verbal.
- Strong interpersonal skills alongside good organisational skills.
- Proficiency with Microsoft 365.
